Job Title: Membership Data Coordinator

Are you someone with strong database skills who is highly customer service-oriented and enjoys working with information, generating reports, problem solving, and collaborating? We are looking for a Membership Data Coordinator to serve as a primary point of contact for membership data inquiries, update and maintain member records, provide information and reports, identify membership data discrepancies, provide virtual trainings, create online resources, onboard new local membership staff, and administer the Honorary Member-for-Life program.

Responsibilities:

  • Primary point of contact for local association membership staff regarding member record and database inquiries.
  • Maintain and update member records using M1 (National association membership database), C.A.R.’s association management system (Rapattoni) and the Broker Compliance Tool (BCT). 
  • Identify systemic member record issues and suggest solutions including but not limited to programmatic changes, developing online resources/virtual trainings for local association membership staff.
  • Provide training and support to local associations daily using C.A.R.’s Broker Compliance Tool (BCT).  Work directly with local AOR staff to reconcile data records in M1, Rapattoni and the Broker Compliance Tool.  Build trusted relationships with local Association Staff and be the primary resource to their membership-related inquiries by being responsive, communicative, and informative.
  • Identify commonly asked questions/issues; offer innovative solutions to address them, including but not limited to creating online resources, offering virtual trainings, etc.
  • Administer the Honorary Member-for-Life program, including managing a streamlined application process, preparing eligible applicants for Board of Directors approval, maintaining the list of approved Honorary Members for Life and ensuring their status is accurately reflected in the M1 membership database.
  • Run a monthly data comparison between Rapattoni and NAR’s M1 system to ensure the member records in Rapattoni are in sync with theM1 database and our active Realtor members have access to their member benefits.
  • Provide training on NAR’s Variable Dues Formula at C.A.R. Business Meetings as requested (some travel required; 1x per year or less)
  • Provide monthly (and sometimes weekly) reports to management regarding local AOR compliance with NAR’s Variable Dues Formula.  This includes taking a daily snapshot of membership counts by local AORs to document the growth of the membership due to Variable Dues efforts.
  • Proactively monitor the member records within the C.A.R. membership database to ensure data integrity  and identify systemic issues, such as assisting local AORs in identifying and correcting duplicate office records and monitor ongoing efforts to eliminate duplicates.
  • Provide support to the Customer Contact Center to assist members with questions regarding REALTOR® membership, member record data and NAR’s Variable Dues Formula.
  • Assist in the annual dues billing process for local AORs and C.A.R.
  • Creation of Rapattoni credentials and permissions and facilitate trainings for internal staff on C.A.R.’s membership database.
  • Extract membership data and build reports for internal staff/departments for various outreaches, meetings, mailings, etc.

Basic Qualifications:

  • 2+ years’ experience in a professional customer service environment.
  • Prior experience working for a REALTOR® association.

Preferred Qualifications:

  • Bachelor's degree
  • Proficiency in SQL

Additional Skills and Abilities:

  • Excellent customer service skills and the ability to maintain a positive attitude amidst job demands. Exceptional written and oral communication skills and the ability to build trusted relationships with customers and fellow staff members.
  • Demonstrated ability to anticipate problems, identify opportunities, and take a proactive approach to project management.
  • Proven ability to collate, analyze, and present data methodically and accurately. Excellent organizational skills and attention to detail.
  • Demonstrated effective written and verbal communication skills. Ability to work effectively and collaboratively within a cross-functional team setting.
  • Intermediate to advanced level in Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.)
  • Ability to execute objectives in a variety of challenging situations and circumstances, including tight project deadlines and demanding customers
  • Excellent work ethic and attendance.
  • Communicative with supervisors by providing feedback on work progress, timetable, and issues.
  • Ability to function effectively in a variety of challenging situations and circumstances, including difficult project deadlines, demanding customers, tight budgets, and evolving goals and objectives.
  • Ability to work effectively with co-workers, customers, and others by sharing ideas in a constructive and positive manner.
  • Consistency in giving feedback regarding work progress, timetable, and issues.
  • Candidate must be very articulate, easygoing, but very disciplined.
