Job Title: Meeting Planner
Reports To:  Senior Vice President of Operations
Group:  Operations – Executive Services
Compensation Range: $60,000 to $72,000 annually

The Role:

We are looking for a Meeting Planner to plan and implement the Association’s major business meetings and a variety of other meetings and events. Key Responsibilities:

• Plan, coordinate, and implement major business meetings three times per year
• Assist with tradeshow annually
• Communicate effectively with vendors and staff face to face, online, over the phone, and via email
• Review and negotiate contracts
• Conduct site visits
• Manage business meetings staff and logistics
• Research hotel availability and negotiate contracts
• Vendor selection and contracts in competitive bid process
• Manage onsite meeting staff and office
• Manage logistics at meetings, communicating with hotel staff, audio/visual staff, and association staff as necessary
• Manage attendee guest room reservation and meeting registration process
• Manage, monitor and prepare budget(s)
• Communicate effectively regarding policies and procedures
• Establish and/or recommend new policies as required

Minimum Qualifications:

• Bachelor’s degree or equivalent
• Specific experience in meeting and event planning
• Experience with meeting planner software
