Reports To: Vice President and Assistant General Counsel
Group: Corporate Legal
Compensation Range: $17 to $30 per hour

The Opportunity:

In fact, we’re pretty cool (or so we think), and we’re a powerful voice for housing in California. We also think we’re an awesome company to work for. So, here’s what you need to know about the job:

The Role:
We are looking for an Administrative Assistant to handle a range of responsibilities while supporting the attorneys in the group.  This position will have primary responsibility for case management for the Ombudsman and Ethics Infoline, working with the attorney to oversee cases from intakes to case resolutions. This position will also support other aspects of C.A.R.’s professional standards programs. The Administrative Legal Assistant will also provide general administrative support to the Legal group, including working with our document management system, backing up other administrative staff, and other duties as assigned. Lots of variety – you won’t be bored!

Key Responsibilities:

  • Administration of the Ombudsman and Peer-to-Peer Ethics Infoline efforts.  Handle call and email intakes; assign cases; review case reports from volunteers; prepare management reports.  Case management takes place primarily in Microsoft Access.
  • General administrative support.  Schedule meetings and webinars; plan for in-person meetings (food, decorations, management of vendors, etc.); coordinate attorney attendance; provide other support as needed.  Maintain website, including posting and removing content as appropriate and requested and other work as requested.  Work on documents as requested, including proofing, formatting, editing PDFs, and other document support as needed.  Support and backup other Legal Department administrative personnel, including with Realegal newsletter, PowerPoint presentations, and other communications, providing backup for other administrative staff as needed.
  • Support Professional Standards program.  Answer calls from local associations on Professional Standards matters, and consult with attorney for response; support pilot program in broader Professional Standards administration; schedule trainings, webinars, and other meetings and delivery; provide certificates and other recognition; maintain current content on website; provide backup administration of interboard arbitration program.
  • Maintain contracts and other corporate documents in (new) contract management system.  Assign appropriate tags to documents; search for contracts and other documents for attorneys and other users as needed; eventually, train and support users.
  • General administrative support to Legal group, assisting attorneys and other support staff as requested.
  • Other job duties as assigned.

Minimum Qualifications:

  • College degree
  • 2+ years administrative assistant experience

Preferred Qualifications:

  • 4-year degree
