Job Title: Administrative Assistant - Industry Relations

Reports To: Industry Relations Manager

Group: Member Information

The Administrative Assistant - Industry Relations will work with the Member Information Team on a variety of responsibilities and projects. This individual will assist the Industry Relations team by taking the lead in handling and organizing events and managing logistics for the team. This individual knows how to handle event coordination, logistics and keeps the team on track with the group objectives.  Maintenance of webpages and postings to multiple social media feeds, along with data collection and calendar logistics are key functions of the role. This individual knows how to manage a database, add to it, and maintain that database for accuracy. This position requires a passion for customer service and the ability to work within and contribute to a supportive team environment. There will be a need for general administrative tasks for some projects involving Word, Excel, Google Docs, PowerPoint, Canva and more. This individual is empowered to assess customer needs and quickly resolve problems. A commitment to on-going learning and skills development is a must.


  • Assist with event coordination including locations, speakers, contracts, registration, and logistics
  • Coordinate project timelines and deliverables
  • Coordinate social media postings to feeds related to the Member Information team
  • Track information such as web visits, blog views, registrations, etc.
  •  Support Coordinator with survey research, management of key metrics and content creation. Skills with photo editing software, power point and MS excel encouraged.
  • Manage the content of the Industry Relations, Membership Development, and Diversity sections of the car.org, ensuring tools, resources, and up-to-date information is posted regularly.
  • Manage eblasts of the Industry Relations Team using Pardot (current eblast tool).
  • Create content for members using news and statistics on the real estate industry.
  • Perform clerical and administrative duties as needed by the department.
  • Perform other tasks as assigned by the Membership Information Group


  • Some college, Bachelor's degree preferred.
  • Minimum of 1 years of general office experience
  • Customer service experience, preferably in a corporate environment.
  • Intermediate to advanced level in Microsoft Office (Outlook, Word, Excel, Powerpoint, etc.)
  •  Event Coordination and Logistics
  • Understanding of main social media applications
  • Strong phone and customer service skills.
  • Excellent oral and written communication skills, and outstanding customer service orientation. 
  • Ability to function effectively in a variety of challenging situations and circumstances, including difficult project deadlines, demanding customers, tight budgets, and evolving goals and objectives.
  • Ability to work effectively with co-workers, customers and others by sharing ideas in a constructive and positive manner.
  • Attention to Detail.
  • Excellent work ethic and attendance.
  • Consistency in giving feedback regarding work progress, timetable and issues.
