Title: Administrative Assistant
Group: Legal (Member Legal Services)
Reports to: Vice President


The CALIFORNIA ASSOCIATION OF REALTORS ® is seeking an administrative assistant to support the member legal hotline. The administrative assistant provides various kinds of support for the team including scheduling, preparing meeting materials, editing documents, updating the website, and providing phone support to the team.

Provide backup secretarial and administrative support for the Assistant General Counsel, and other Member Legal Services attorneys, including answering phone lines, drafting correspondence, copying, printing, filing and delivering documents, managing schedule of the Division, preparing Legal Q&A documents, handling CRM intakes, etc.
Assist attorneys with preparation of webinars, PowerPoint presentation, Facebook Live sessions, Instagram and Twitter posts, including scheduling, organizing and handling follow-up.
Update appropriate pages on company website
Help with “Google Analytics” data collection and monitoring
Assist the attorneys in creating, modifying, editing and reviewing CAR Standard Forms
Handle filing and library work
Maintain and update Attorney Referral Panel
Maintain spreadsheet of status of the attorneys’ legal assignments and responsibilities
Use the Power BI software and “dashboard” to generate reports and provide recommendations
Complete monthly reports on what legal materials were distributed and in what formats
Assist with work on the chatbot and Artificial Intelligence
Analyze hold times as correlated to attorney shifts and the time of day and assist in monitoring hold times and workflow
Assist Finance Helpline Lender Liaison with marketing, preparation, conduct and posting of webinars and PowerPoint presentations
Assist with preparation of monthly reports, marketing materials and website updates for Finance Helpline

Bachelor's degree required
Minimum 3 years administrative experience
Strong attention to detail
Self starter and fast learner
Tech savvy: Intermediate to advanced level in Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.) and ability and willingness to learn new software
Excellent oral and written communication skills, and outstanding customer service orientation
Ability to function effectively in a variety of challenging situations and circumstances, including difficult project deadlines, demanding customers, tight budgets, and evolving goals and objectives
Ability to work effectively with co-workers, customers and others by sharing ideas in a constructive and positive manner
Excellent work ethic and attendance
Consistency in giving feedback regarding work progress, timetable and issues
