Job Title: Local Association Services Coordinator

Reports To: VP of Membership and Local Association Services

Group: Operations – Membership

Are you someone with strong admin skills who is highly detail-oriented and enjoys managing the many elements of planning meetings and events and working on multiple projects simultaneously? We are looking for a Local Association Services Coordinator to coordinate communications and provide administrative support services for local REALTOR® Association Executives (AEs), Association Presidents and Association staff.

Responsibilities:

  • Maintain webpages on car.org for Association Executives (AE) and special event websites
  • Provide extensive administrative support to the VP of Membership & Local Association Services and team.
  • Maintain and promote a positive working relationship between C.A.R. and the 99 local Association Presidents and Association Executives.
  • Prepare materials and meeting logistics for C.A.R. Business Meetings.
  • Coordinate and manage event logistics while providing administrative support for all seminars, meetings, symposiums and/or educational conferences (both virtually and in-person) conducted by the Membership & Local Association Services staff team.
  • Serve as first point of contact for local Association Executives and Association Staff for general inquiries; be responsive to timely issues and take initiative to obtain answers.
  • Collect, process, and maintain records for applications and donations for C.A.R.’s Disaster Relief Fund Committee. Responsible for facilitating payment of approved grants and works with California Community Foundation (CCF).
  • Create and disseminate weekly email newsletter including curating content, prioritizing articles, copy editing, etc..
  • Maintain accurate data in the membership database, rosters for AEs and Association Presidents, AE tenure information, and new AE records.
  • Administer the Honorary Member-for-Life (HMFL) program, including communicating with local association staff, reviewing submissions/applications, maintaining the database for the HMFL designation, and preparing certificates and letters.
  • Perform other job duties, as assigned.
  • Some travel required.

Basic Qualifications:

  • Intermediate to advanced level in Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.).
  • Advanced experience managing Zoom meetings and webinars.

Preferred Qualifications:

  • Bachelor's degree
  • Experience working for an Association of REALTORS®
  • Experience with the Adobe Suite

Additional Skills and Abilities:

  • Must possess strong administrative support skills including the ability to multi-task, be detail-oriented, strong interpersonal skills, excellent writing skills, exercise patience and professional etiquette when dealing with difficult or sensitive situations, maintain multiple calendars, maintain an orderly filing system, proficient time-management abilities.
  • Must possess strong computer/technological skills and the ability to learn new software quickly.
  • Excellent oral and written communication skills, and outstanding customer service orientation.
  • Ability to function effectively in a variety of challenging situations and circumstances, including difficult project deadlines, demanding customers, tight budgets, and evolving goals and objectives.
  • Ability to work effectively with co-workers, customers, and others by sharing ideas in a constructive and positive manner.
  • Excellent work ethic and attendance.
  • Consistency in giving feedback regarding work progress, timetable, and issues.
