Because of the important role that volunteer Directors play in establishing Association policies and charting the course for the activities of each committee, it is essential that each Director plan to attend every meeting of the Board of Directors, and participate in both the Friday afternoon and Saturday morning sessions. Official attendance is taken at the Saturday morning session of the Board of Directors by each Regional Chair, and the records are maintained on file at C.A.R. Headquarters. The C.A.R. Bylaws specify that "[t]he absence of any Director from two consecutive meetings...shall authorize the Board of Directors to declare the office of such director vacant."
C.A.R. recognizes that circumstances do arise in which a Director will need to request an excused absence from a meeting of the Board of Directors. The proper procedure to request an excused absence is to send a letter to the attention of the C.A.R. President in advance of the meeting, stating the reason for the absence, and requesting that an excuse be granted. The letter may be addressed to:

As a courtesy, it is also recommended that Directors requesting an excused absence advise their Regional Chair, and their Committee Chairs, that they will not be in attendance at an upcoming meeting.
