C.A.R. utilizes a Priority Guest* system to assist in determining the order in which requests for hotel reservations can be processed. Before any reservation requests can be processed, Priority Guests who may not have registered will be contacted to determine if they plan to attend the next meeting. All registrations must be received by the stated deadlines. Your credit card information may be provided to the hotel, and may be used to guarantee your guest room reservation. Your credit card may be charged for a deposit, which is generally one night's room and tax, and this deposit is non-refundable. Your credit card may also be charged a non-refundable registration fee.
The hotel guest room request process will close approximately ten days to two weeks after online registration begins. C.A.R. may extend the hotel request deadline if necessary.
After the closing date, attendees can no longer request a hotel guest room through C.A.R. and the C.A.R. negotiated group rate may no longer be available. C.A.R. is facilitating the hotel reservation process as a courtesy to Directors and Committee Members, and does not guarantee that a guest room will be available, or that any preferences regarding the hotel, room type, or room rate can be honored.
A third party reservation bureau may assist C.A.R. with the hotel reservation process. A reservation processing fee may be assessed by C.A.R. or the third party. Early departure fees or cancellation fees may apply, at the discretion of the hotel.
Hotel reservations for certain Association VIP's, special guests or Association staff may be processed prior to member reservation requests.
All hotel reservation requests for members will be processed in the following order, subject to availability:
First -- All Priority Guests requiring hotel accommodations, regardless of the order received
Second -- Requests received from C.A.R. Directors and Association Executives, with consideration given to the order they were actually received, subject to hotel availability
Third -- Requests received from all other C.A.R. Members, with consideration given to the order they were actually received, subject to hotel availability
Fourth -- Requests received from all others, with consideration given to the order they were actually received, subject to hotel availability
Members may continue to register for the Business Meetings after the hotel request deadline. C.A.R. may extend the hotel request deadline if necessary.
When more than one hotel is being utilized, consideration will be given to individual preferences, as well as to the availability of hotel guest rooms at each property during the dates requested. Additional hotel properties may be added by C.A.R. if required, and a waiting list may be maintained.
Because Priority Guest reservations are honored first, and because the number of rooms available to C.A.R. Members at the contracted hotels varies from night to night, Member A, who requests a guest room before Member B does, may have his or her request processed after Member B, and Member A and B may not be placed at the same hotel.
A limited number of club or concierge level rooms may be available. Suite reservations are made directly through C.A.R. by registering online. Suites vary by location/venue and are reserved on a first-come, first-served basis.
*The following groups are included on the Priority Guest List, as approved by the Board of Directors:
C.A.R. Committee Chairs for the current year
C.A.R. Executive Committee members for the current year
C.A.R. Credentials Committee members for the current year
C.A.R. Directors for Life
Past Presidents of C.A.R.
Honorary Presidents of C.A.R.
C.A.R. Officers for the current year
Members with documented special medical needs (ADA accessible rooms, etc.)
C.A.R. Regional Chairs for the current year
C.A.R. Sergeant-At-Arms Committee Members for the current year
C.A.R. Gold President Circle members in good standing who are current year REALTOR® Action Fund contributors
The C.A.R. Board of Directors adopted the following motion in June 2005 to provide further guidance regarding the processing of registration and hotel requests for Directors and Association Executives.
"That C.A.R. permit one annual registration for all three meetings, including hotel reservations, for all C.A.R. Directors and Association Executives to be registered by the local association, no later than November 1st for the following year, and that the Priority Guest policy be amended to give a next level of priority to C.A.R. Directors and Association Executives prior to general membership registration."
Association Executives may register their C.A.R. Directors and Committee Members, including Priority Guests, for all three Business Meetings each year. C.A.R. Directors and Association Executives will have the next level of priority for hotel accommodations, after Priority Guests, as noted in the motion above. Members and non-members will be able to register for each meeting individually if they are not registered by their Association Executive.
