The Administrative Assistant will assist with day to day administrative duties for the Education Department of our subsidiary, REBS, including answering phones, data entry and word processing, as well as processing course requests, invoicing and course expense requests recording.
Responsibilities
·
Respond to information requests received from members, providing information if possible, or referring request to others as needed.
·
Data entry of education records.
·
Prepare and send course emails.
·
Process check requests for instructors, etc.
·
Handle onsite course scheduling and registrations at C.A.R.
·
Certificates – create Excel spreadsheet and update information with correct date, location, & instructor and provide to customer service.
·
Assist with updating and maintaining live and Face2Face™ (interactive video conferencing) course schedule; LearnMyWay® webinar schedule, preparing and confirming course request forms, track shipment and costs of course materials, confirm class dates/times.
·
Provide assistance with scheduled live, LearnMyWay® and Face2Face™ courses at C.A.R. and handle onsite course scheduling and registrations at C.A.R.
·
Ensure that all courses scheduled have an instructor and Instructors and Associations have confirmations of date, time, location and contact information for each course.
·
General administrative tasks including filing, photocopying, and faxing.
·
Keep others informed of work progress, timetable and issues.
Requirements
·
High School Diploma or higher.
·
Two (2) to three (3) years of experience in a professional office environment using systems that improve procedural efficiency.
·
Excellent oral and written communication skills
·
Outstanding customer service orientation.
·
Intermediate to advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc.)
·
Ability to function effectively in a variety of challenging situations and circumstances, including difficult project deadlines, demanding customers, tight budgets, and evolving goals and objectives.
·
Ability to work effectively with co-workers, customers and others by sharing ideas in a constructive and positive manner.
·
Excellent work ethic and attendance.
·
Proven ability to listen to and objectively consider ideas and suggestions from others.
