The Administrative Assistant provides administrative support for the Real Estate Business Services’ (REBS) CEO, and for other staff within REBS as assigned. The Administrative Assistant will support the education course offerings provided by REBS to REALTORS® and assist managers in marketing education courses and other products offered by REBS. This includes interacting with REBS’s customers over the phone, preparing email correspondence, editing documents, maintaining files, coordinating a companywide calendar, making travel arrangements, and other administrative duties. The successful candidate will be able to work independently on a variety of projects and directly assist product managers with coordinating marketing initiatives.
Responsibilities • Provide administrative support to REBS CEO, including answering phone, preparing correspondence, transcribing and editing documents, proofreading, maintaining files, opening and sorting mail, scheduling appointments, making travel arrangements, etc. • Provide support for large mailings to local real estate associations, members or all REBS customers. • Generate check requests for invoices to be paid to course instructors and other vendors. Send invoice requests to charge local associations and broker offices for education course offerings. • Answer questions from local real estate associations, members or customers regarding Standard Forms, Education and all REBS products. • Generate reports and provide customer support for education and other departments. • Interpret key fields within the e-commerce platform to support customers’ education order inquiries and cancellation requests. • Work with product managers and marketing team to ensure that marketing commitments and timelines are met each month. • Work with product manager to identify needed marketing collateral, make recommendations for updates to marketing collateral, track and record marketing specimens, and assist in preparation of marketing reports to business product partners. • Perform other job duties as assigned.
Requirements • College degree required or high school diploma with minimum 5 years work experience as a high level assistant. • Advanced word processing knowledge, with average typing speed of 60 wpm. • Proficiency with business software applications, including Microsoft Word, Excel, Access, Powerpoint, Publisher, PhotoDraw and Outlook. • Knowledge of HTML. • Ability to learn new software applications, (such as the Association’s membership database program) is required. • Familiarity with use of the Internet as an informational resource required. • Sound judgment, and ability to handle sensitive or confidential information appropriately. • Demonstrated ability to work with many different people and projects simultaneously and sometimes independently. • Critical issue spotting, problem identification and problem-solving abilities. • Excellent oral and written communication skills, and outstanding customer service orientation. • Ability to function effectively in a variety of challenging situations and circumstances, including difficult project deadlines, demanding customers, tight budgets, and evolving goals and objectives. • Ability to work effectively with co-workers, customers and others by sharing ideas in a constructive and positive manner. • Excellent work ethic and attendance. • Consistency in giving feedback regarding work progress, timetable and issues.
