The Administrative Assistant provides a broad range of support to the Corporate Legal Department attorneys, including handling inquiries, planning meetings, updating website content, maintaining files, conducting internet research, tracking programs in Excel, and more. This individual will play an important role in the day to day functions of the department, and work with other departments throughout the organization as necessary to complete projects. The successful candidate will be a motivated self-starter with strong computer skills and exceptional customer service skills.
Responsibilities • Answer, process, follow up on, and track Ombudsman calls, and assign Ombudsmen to REALTOR® cases. • Plan meetings and events, including securing proper conference room space, communicating with guests, processing registrations, creating and organizing meeting materials, etc. • Maintain paper and electronic files. • Draft minutes and maintain corporate books. • Process arbitration files, including case intakes, reviewing and maintaining files, and communicating with the parties involved. • Conduct intellecual property research online and draft correspondence. • Post content to car.org using content management software. • General office duties such as answering phones, copying, processing mail, ordering supplies, etc.
Requriements • College degree; Bachelor’s degree preferred • Minimum 2 years of administrative assistant experience • Legal Administrative Assistant experience a plus • Excellent attention to detail • Excellent business writing, proofreading and formatting skills • Professionalism and confidentiality appropriate to a law office • Intermediate to advanced level in Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.) • Excellent oral and written communication skills, and outstanding customer service orientation. • Ability to function effectively in a variety of challenging situations and circumstances, including difficult project deadlines, tight budgets, and evolving goals and objectives. • Ability to work effectively with co-workers, members, consumers and others. • Excellent work ethic and attendance. • Ability to prioritize and manage competing deadlines, and to give regular feedback regarding work progress, timetable and issues.
